We have an exciting opportunity for a full-time, Unit Secretary to join Ramapo Ridge. Ramapo Ridge is a 58-bed inpatient psychiatric hospital licensed by the State of New Jersey and accredited by The Joint Commission (TJC). The Unit Secretary will be responsible for the clerical functions in the unit and acts as a receptionist. The purpose of this position is to assist the Charge Nurse in the smooth functioning of the unit. The Unit Secretary supports the unit philosophy and works collaboratively with the Charge Nurse, Executive Assistant and the Nurse Executive. Must have the flexibility, personal integrity and be able to work effectively with personnel from all departments. Demonstrates an understanding of, and embraces, the mission statement of Christian Health.
Competencies:
- Ensures that all visitors identify themselves and signs in the visitors in the Log Book.
- Follows established safety precautions in the performance of all duties.
- Monitors, searches and records all packages brought to and leaving the unit.
- Ensures that the daily time schedules correspond to the N.O. schedules and takes corrective action.
- Maintains an appointment book and ensures that the scheduling is done in a timely fashion.
- Ensures that all visitors are monitored prior to entering the unit.
- Ensures there are new charts for prospective patients to be available 24 hours a day.
- Meets with the Charge Nurse or her designee on a daily basis to plan for the day.
- Operates equipment in a safe manner.
- Ensures that ordering is done prior to staff running out of supplies and equipment on appropriate ordering forms.
- Catalog and non-catalog orders are done in a timely manner within the budget allotments.
- Ensures that the refrigerator has been checked for outdated supplies and undated open containers and are disposed of.
- Ensures that there are par level supplies on Level 2 at all times.
- Ensures that there is coordination of patient appointments with other departments and works with the RRPH driver.
- Makes the required changes on the communication and patient boards.
- Ensures that messages are taken clearly and are logged for the appropriate person.
- Adds to the Census Book all admissions and discharges for each 24 hours.
- Charges the appropriate supplies, treatments, on the wand system.
- Checks the Census Sheets and the Census book and ensures that they correspond.
- Before leaving the work area at the end of the day, stores all equipment and supplies appropriately.
- Refers calls to appropriate persons while maintaining patient confidentiality.
- Follows established non-smoking regulations.
- Writes up the escort and transport requisitions recording the length of the escort, time of day, and the number of staff accompanying the patient.
- Transcribes the appointments and consultations onto the Communication board.
- Maintains the confidentiality of all patient care information.
- Ensures that there are sufficient supplies in the refrigerator and in the dining room for the number of patients on the unit for the next 24 hours and for the weekends.
- Answers the telephone promptly identifying the facility, unit, and the name of the person answering.
- Works collaboratively and under the supervision of the Executive Assistant on daily and weekly time sheets.
- Utilizes equipment that one is trained for.
- Assists the Charge Nurse or her designee in tabulating the acuity system and delivers the information by the specified time.
- Checks the Treatment Room and Clean Room each day to ensure supplies are present.
- Maintains Sign-Out sheets for patients.
- Attends ongoing education in the area of Unit Secretary.
- Attends and participates in the mandatory in-services.
- Reports any infectious diseases or contacts to the Employee Health Nurse.
- Can identify the whereabouts of the Safety Manual.
- Reports safety violations.
- Knows the location of MSDS Manual.
- Makes out maintenance work orders under the direction of the Charge Nurse and ensures that they have been signed by the Nurse Executive.
- Participates in the Unit-Based Quality assessment duties.
- Can identify the whereabouts of Exposure Plan, Infection Control, Fire & Disaster Plans.
Schedule: 3:00pm-11:00pm, Monday - Friday, no weekends.
Education: High School Graduate with some secretarial education.
