We have an exciting opportunity for a part-time, Administrative Assistant to work in the Christian Health Gracepoint partial hospital program. The Administrative Assistant to the Gracepoint Partial Hospitalization program will perform the receptionist, administrative assistant tasks and secretarial duties required to manage the office operations of the program. Demonstrates an understanding of, and embraces, the mission statement of Christian Health.
Competencies:
- Prepare consumers for the intake procedure including scheduling appointments, providing intake forms, greeting consumers and reviewing program guidelines.
- Assists PHP staff with copying and faxing of Patient records.
- Utilizes office equipment as needed and as requested re: faxing, copying, retrieving case records and shredding, while maintaining confidentiality.
- Coordinates and attends department meetings, sending Outlook, assisting in preparation of minutes, arranging room availability. Takes, types and distributes minutes of meetings.
- Prepares and distributes schedules, in-service and monthly meeting schedules; updates staff schedules as needed.
- Meets with SW Director/Designee at start of shift to review work assignments and tasks.
- Performs general clerical duties of typing, filing, shredding confidential material and taking dictation when necessary; maintains office files and records, assuring confidentiality.
- Utilizes Outlook, and Microsoft Word program accessing, inputting and retrieving informational computer files. Utilizes Microsoft Excel for summarizing monitoring information.
- Receives and directs telephone communications to appropriate members; records and delivers messages accurately; receives visitors directing them to appropriate areas or staff.
- Attends monthly departmental meeting.
- Maintains copies of necessary forms, orders supplies as directed, checks in orders upon receipt and keeps list of office needs.
- Meets regularly with program staff, informally and formally, to review program needs, projects, tasks and assignments and executes necessary plans and actions.
- Collaborates with the finance department to ensure timely and accurate billing for Gracepoint
- Tracks, updates, edits and maintains assigned departments policies and procedures, and departmental forms.
- Enters, tracks and organizes census data and prepares weekly, monthly and annual volume data reports.
- Performs other related duties as required.
- Monitors and tracks quality assurance data.
Schedule: Part-time, 8:30am-12:30pm, Monday - Friday.
Education: High school diploma required.
