Salary Range: $65,000 - $75,000

We have an exciting opportunity for a full-time Director of Admissions and Concierge Services in Longview. The Director of Admissions and Concierge directs the admission process for The Longview Assisted Living. Provides tours, admission information, arranges for and coordinates admissions to Longview. Review applications for completion, assesses financial eligibility and works with the Director of Health Services, Administrator and/or Nurse Coordinator at Longview to set up assessment appointments and to assure appropriate placement and/or referral. Keeps Administrator informed of concerns or happenings. May refer clients to other CH programs, as appropriate or community based services. Works with the Marketing Department to market Longview. Demonstrates an understanding of, and embraces, the mission statement of Christian Health.
Competencies:
Admissions:
- Assesses needs of patient, utilizing expertise of clinical staff when necessary, and refers to appropriate CH programs including; nursing home, special care units, Assisted Living, RHCF, senior housing, OPD, Psych.
- Demonstrates ability to direct functions of admissions process.
- Demonstrates an understanding of Assisted Living principles including resident choice, privacy, independence, dignity in all interactions with resident.
- Keeps accurate records of all tours, conversations, follow-up and correspondence regarding each application on the waiting list.
- Receives intake calls from prospective resident, sponsor, hospital or community agency. Provides information regarding CH programs.
- Delegates functions and tasks based on the daily workflow and needs of the department.
- Arranges, as necessary, nursing/medical assessments to determine appropriateness for program. Works closely with the Director of Health Services to facilitate the pre-admission screening process. Assures that resident has been clinically reviewed and approved for admission.
- Assists sponsor/resident with application process, as necessary. Assures full completion of application and obtain back-up documents, as needed, i.e. financial statements, Advance Directives, PAS screening, Insurance information, preliminary transfer forms, medical records, etc.
- Greets resident and family on the day of admission. Assures all their needs are being handled by appropriate staff.
- Arranges appointment with sponsor to sign paperwork, prior to admission. Assures proper completion and distribution of admission paperwork. Receives security/deposit checks at time of admission.
- Arranges for and provides personal tours.
- Maintains current waiting list. Assures that all applications are fully complete with updated clinical and financial information.
- Provides financial information to patient/sponsor including but not limited to private rates, Medicare, Medicaid, public assistance, SSI, etc. Provides guidance for financial assistance programs, refer to CH Finance Department as necessary.
- Develops and maintains a system for tracking and filing applications.
- Keeps well informed about community resources available to clients on the waiting list and their families.
- Develops and maintains file system and/or records of inquiries, applications, etc.
- Keeps abreast of all changes and developments within CH programs and departments. Is informed on Medicare, Medicaid, managed care, public assistance, private insurance, SSI, etc. and is prepared to share this information with inquiries.
- Keeps abreast of development of new services and programs at CH and facilitates communication between the community for development of new programs.
- Develops and maintains strong working relationships with area hospital discharge planners, case managers, nursing home Social Workers/Admissions Coordinators, ADC Centers and other agencies/facilities, as well as area churches and organizations.
- Develops and oversees the Quality Indicators and Performance Improvement for the Admissions Department.
- Develops, reviews, and updates related Departmental Policy and Procedures.
- Develops and implements system to updates full waiting list for Longview at least annually to determine active applications, on hold, deletions, etc.
- Maintains resident registry.
- Attends department meetings and in-services as required.
- Maintains and updates computerized resident database. Repots annully to DOH as scheduled.
- Prepares scheduled census statistical reports, maintains documents as required by regulation/facility policy.
Concierge Services:
- Directly responsible for direct supervision of reception staff including fiscal accountability.
- Works effectively with Human Resources department in the recruitment and selection of departmental personnel.
- Adheres to budgeted staffing levels.
- Develops, monitors, reports, and reviews Departmental Performance Improvement indicators in conjunction with PI staff, for appropriateness of study and timely completion.
- Reports observations/changes in resident condition to nurse.
- Reviews employee scheduled and worked hours on a weekly basis, including oversight of usage of benefit time (sick, personal, vacation time). Covers clinical timecards in absence of office manager.
- Keeps abreast of current federal and state regulations, as well as professional standards, and make recommendations on changes in programming/services and related policies and procedures.
- Completes employee performance evaluations on a timely basis.
- Assists in preparation for, and participation in various regulatory and accreditation surveys.
- Effectively manages Human Resources related information systems.
- Ensures incidents, accidents, or unsafe conditions are reported, utilizing Christian Health reporting software as per policy.
- Develops reviews and updates departmental job descriptions on a timely basis.
- Ensures completion of new employee job specific orientation.
- Ensures resident satisfaction Shares pertinent information with staff. and leadership team.
- Screening at front reception desk.
Schedule: 8am-4pm, Monday - Friday.
Education: Bachelor's degree required. Must obtain CALA certification within 6 months.
