Salary Range: $75,000 - $80,000

We have an exciting opportunity for a full-time Executive Assistant to join Ramapo Ridge Behavioral Health Hospital (RRBH). The Executive Assistant assists the VP Administrator and Nurse Executive by performing administrative and secretarial functions. Assists VP Administrator and Nurse Executive with projects pertaining to Mental Health programs and CH development. Demonstrates an understanding of, and embraces, the mission statement of Christian Health.
About Ramapo Ridge Behavioral Health (RRBH):
- RRBH is a 58-bed inpatient psychiatric hospital licensed by the State of New Jersey and accredited by The Joint Commission (TJC).
- Our behavioral hospital serves adults from 18 years of age through the senior years. RRBH includes a general adult psychiatric division treating adults of all ages with various mental health diagnosis such as depression, bipolar illness, anxiety, schizophrenia, OCD and others. Our geriatric division is a locked, safe and secure newly renovated wing that specializes in various forms of Dementia, Alzheimer’s and a host of additional mental health diagnosis. While we admit patients who are voluntary and involuntary, we are not licensed to admit patients who require Short Term Care Facility (STCF) beds. Generally, these patients require a more intensive and secure environment for safety.
About Haven:
- Haven at Ramapo Ridge provides inpatient trauma-informed care and services in a safe and secure setting for women only. Located within Ramapo Ridge Behavioral Health.
- Haven is the first of its kind in Bergen County and the only inpatient women’s program in New Jersey. The program offers a wide range of trauma care support and services and patients receive personalized care plans that lay out a path to healing in a safe space separate from the hospital’s general population.
- Received the “Clinical Excellence Award” from the New Jersey Hospital Association (NJHA) for our innovative Haven program, which recognizes caregivers who personify a top-notch commitment to care.

Competencies:
- Ensure supply costs meet budget expectations.
- Maintains and reorders office supplies for department.
- Provides administrative/executive secretary support to VP Mental Health Division and to the Nurse Executive of RRPH.
- Maintains calendar and meeting folder.
- Maintains accurate and updated administrative files (hard copy and/or computer files) and manuals.
- Monitors and reviews Mental Health Dept. Director time reports for accuracy, timeliness and final approvals.
- Completes Purchasing Requisitions, Check Request forms, Expense Reports and Capital Requisitions.
- Coordinates meetings; i.e.: reserves meeting room, orders food, follow-up details.
- Completes seminar/convention registration and off-site meeting arrangements.
- Coordinates with Human Resources for scheduling of RRPH candidate interviews.
- Ensures vendor verification processing and tracking is maintained.
- Ensures licensing and accrediting-regulatory agency documents are current and posted.
- Coordinates scheduling of Student Interns (primarily social work) between universities/colleges and RRPH programs. Assures timely communication with schools/students, coordinates review of profiles/resumes, schedules meetings and assists Social Work council with placement of students in CH programs; assures timely completion of paperwork; coordinates GO with ODSE; assure contractual compliance with CH Contracts Coordinator.
- Answers incoming phone calls to VP Administrator and Nurse Executive.
- Assists VP Administrator and Nurse Executive with projects pertaining to Mental Health i.e., Policy and Procedure development projects, new program development, special reports.
- Types all correspondence, meeting minutes, form, projects, speeches, etc. for VP Administrator and Nurse Executive.
- Handles correspondence for VP Administrator and Nurse Executive.
- Meets with VP Administrator and Nurse Executive to review projects, tasks and assignments.
- Opens all incoming mail for VP Administrator and Nurse Executive and arranges in priority.)
- Reconciles VP Administrator and Nurse Executive monthly expenses.
- Takes minutes at Mental Health meetings, types and distributes.
- Makes necessary travel arrangements for VP Administrator and Nurse Executive. Prepares itinerary.
- Performs other related duties as required.
Schedule: 8am-4pm OR 9am-5pm, Monday – Friday.
Education: A high school diploma or equivalent; secretarial school diploma preferred.
